Upload Evaluation Reports Coordinator Mail Access Excel Troubleshoot

What is QAMS? A website that helps you upload course files, record Student Outcome (SO) results, and create accreditation reports.

  • Who uses it? Instructors, coordinators, and administrators.
  • Login: Use your university email. First-time users get a password by email.
  • Where to start: Upload your course files, then complete SO evaluation, then generate reports.

  1. Open the Upload page.
  2. Select your Course and Semester.
  3. Use the checklist to upload required items (syllabus, exams, assignments, etc.).
  4. Watch the progress bar to reach 100%.

Tip: If you upload the wrong file, simply upload the correct one again to replace it.

  1. Open the SO Evaluation page.
  2. Select Course and the SO you are measuring.
  3. Choose the Assessment Method (e.g., exam, project, quiz).
  4. Enter Number of Grades and Maximum Grade, then fill grades.
  5. Click Evaluate → the system calculates results and shows a chart.
  6. Click Save to store the results.

Note: You can evaluate the same SO using up to two methods. Re-evaluating the same method will update the previous result.

  1. Open the Reports page.
  2. Select your course and semester, then click Generate Report.
  3. Review charts, performance levels, and suggestions.
  4. Use Print or Export (PDF/Word/Excel).

Tip: If the report is empty, make sure you saved at least one SO evaluation.

Coordinators can:

  • See upload progress and SO completion across courses.
  • Find missing items and follow up.
  • Send reminders using the internal mail system.

Instructors only see their own courses.

  • Compose new messages, reply, or forward.
  • Attach files and format your text.
  • Make sure selected recipients appear correctly before sending.

  • Saves time preparing course evidence.
  • Calculates SO results automatically.
  • Keeps everything in one place and easy to find.
  • Makes communication and tracking simpler.

How do I upload my course files?

Open Upload, choose Course & Semester, then upload the required items from the checklist.

The progress bar doesn’t reach 100%.

Check the checklist—one or more required items may still be missing or mismatched.

I uploaded the wrong file. How do I fix it?

Upload the correct file again for the same item. It will replace the old one.

Why is the “Evaluate” button disabled?

Select Course, SO, Method, Number of Grades, and Max Grade first.

Can I use two methods for the same SO?

Yes, up to two methods. Reusing the same method updates the previous result.

Grades saved but I don’t see Exam Date.

Ensure there’s an ExamDate column in the sheet and the file isn’t open elsewhere.

My report is empty.

Save at least one SO evaluation for the selected course/semester, then generate again.

Can I export reports?

Yes: PDF, Word, and Excel are available on the Reports page.

Charts look blurry on screen.

Use Print or PDF export—the output is higher quality than the on-screen preview.

What can a coordinator see?

Program-wide progress: uploads, SO evaluations, and missing items across courses/instructors.

I can’t find my course in the list.

Contact your coordinator or admin to confirm your course assignment and access rights.

How do I use internal mail?

Go to Mail: compose, add recipients, attach files, and send. You can reply or forward too.

I can’t save—file is in use.

Close the Excel file anywhere it might be open, then try again.

An error says a control is not declared.

Reload the page and try again. If it persists, report it to support with a screenshot.

Print button is disabled.

Select the required dropdowns (course/semester) and generate the report first.

How are grade boxes arranged?

They appear in rows (max 20 per row) for easier typing. Fill only what you need.

What do the performance levels mean?

They show how well students met the SO (Unsatisfactory → Exemplary) based on your evaluation.

I forgot my password.

Use “Forgot Password” on the login page, or contact the administrator.

Do I need to upload every item?

Yes—upload all required items in your course checklist for accreditation readiness.

Can the report show past terms?

Yes—if previous evaluations exist, trends will appear automatically.

How to Use the Demo Version
  1. Login using your demo credentials and select your role (Instructor/Coordinator/Admin).
  2. Open Info to confirm the Academic Year and Semester are set correctly.
  3. Go to Upload and select a course/section to upload required items and reach 100%.
  4. Go to SO Evaluation, pick a course + SO + method, enter grades, then Evaluate and Save.
  5. Open Final Report to view charts, summaries, and survey agreement results.
